Big Worldwide Ltd (collectively "M&I Forums", "we", "us" or "our"), cares about your privacy and data protection. We recommend that you carefully review this privacy and cookies policy. We may change this policy from time to time, but if we do so we will announce this on our website http://www.wwideevents.com or on the Forum Hub Website & App. If any changes are material and/or retroactive, we may provide additional notice as appropriate under the circumstances. Our use and disclosure of particular information will be governed by the Privacy Policy in effect at the time we gather that information. By accessing and using the Website or App, you represent and warrant that you have read and understood, and that you agree to be bound by, this privacy policy.

01. General Statement of Big Worldwide Ltd.’s Duties and Scope

Big Worldwide Ltd is registered under the Data Protection Act. Big Worldwide Ltd is required to process relevant personal data regarding members of staff, event delegates (buyers and suppliers in this case) and customers as part of its operation and shall take all reasonable steps to do so in accordance with this Policy. The Freedom of Information Act 2000 and the Protection of Freedoms Act 2012 are also relevant to parts of this policy.

Data Protection Controller
Big Worldwide Ltd has appointed the Director of Event Technology as the Data Protection Controller (DPC) who will endeavour to ensure that all personal data is processed in compliance with this Policy and the Principles of the Data Protection Act 1998.

GDPR Compliant
Big Worldwide Ltd recognises The General Data Protection Regulation (GDPR) (Regulation (EU) 2016/679) adopted 27 April 2016, the two-year transition period and the application date of 25 May 2018 and is actively working towards compliance with that directive.

The Principles
Big Worldwide Ltd shall so far as is reasonably practicable comply with the Data Protection Principles (the Principles) contained in the Data Protection Act to ensure all data is:

Fairly and lawfully processed.
Adequate, relevant and not excessive.
Accurate and up to date.
Not kept for longer than necessary.
Secure.
Not transferred to other countries without adequate protection.

Data Subject is the individual who is the subject of the personal data.

02. What personal data do we collect from you?

Big Worldwide Ltd is ‘Worldwide Events’ and includes the following brands: Forum Hub, PRIVATE Luxury Forums, Amour, Love Travel Awards, M&I Forums, Tour de MICE, PRIVATE MICE Forums, Snow & MICE, MICE Masters, Healthcare Events Forum, and additionally covers subsidiaries and affiliated bodies where the Data Protection Act applies.

Data Subject is the individual who is the subject of the personal data.

Personal Data
Personal data covers both facts and opinions about an individual, where that data identifies an individual. For example, it includes information necessary for employment such as the member of staff’s name and address and details for payment of salary or delegate attendance.
Personal data may also include sensitive personal data as defined in the Act.
Certain data is exempted from the provisions of the Data Protection Act which includes the following:
The assessment of any tax or duty.
Where the processing is necessary to exercise a right or obligation conferred or imposed by law upon Big Worldwide Ltd.

Processing of Personal Data
Consent may be required for the processing of personal data unless processing is necessary for the performance of the contract of employment. Any information which falls under the definition of personal data and is not otherwise exempt, will remain confidential and will only be disclosed to third parties with appropriate consent.

Delegates consent to process their data and disclose it to third party vendors working with the Big Worldwide Operations department.

In some cases, specific organisations may publish a detailed privacy policy relating to their services, for example: http://forumhub.mi-forums.com/privacypolicy. Use of those services indicates acceptance and may grant additional consent as to how Big Worldwide Ltd may process personal data.

Big Worldwide Ltd processes some personal data for marketing purposes, and data subjects have the right to request an opt-out to these activities, which must be respected.

Sensitive Personal Data
Big Worldwide Ltd may, from time to time, be required to process sensitive personal data. Sensitive personal data includes data relating to travel documents, gender, dietary requirements, and personal health and medical information.

Personal data you provide to us
When using the Forum Hub website or app you provide us with personal data, personal data includes all personally identifiable information (PII) and data that directly or indirectly identifies you such as your name, email address, phone number, location data, and details of the business you will represent at our events. To use our App, you provide us with your email, username and password. The information you input into your Forum Hub profile on our Website is communicated to the App automatically. All content added to your Forum Hub account is passed between the Website and the App.

Personal data we collect through your use of our App or Website
We collect limited personal data from you through your use of our App or Website. The only personal data we actively collect from you beyond that which you have provided through registration are your IP address and the time and date on which you visited the App or Website. In addition, we may also track your usage of the Website for statistical and research purposes by means of cookies.

03. For what purpose do we process your personal data?

We process your personal data for the following purposes:

Providing you with information about the event that you are attending;
Enabling features such as messaging, meeting schedule, attendee lists and profiles, meeting ratings, and event leaderboards;
Pre-populating App fields such as meeting schedules, attendee lists, meeting ratings, and event leader boards;
For analytics and market research purposes to improve our services, develop new products and launch services for other purposes;
Sending emails or push notifications in relation to the event;
Processing complaints, handling disputes, performing audits and meeting statutory requirements.

04. With whom do we share your personal data?

Our principle is that we do not share your personal data with third parties for marketing purposes. We share information with contracted third parties for operational purposes in order to confirm attendance to a Forum.

Personal data we collect through your use of our App or Website Attendees
Other users of the Website and App will be able to see limited information such as your profile. Your delegate profile is public only to delegates who attend the same event(s) as you. Other delegates will not have any access to your notes, ratings, password or ranking on the leader boards if you are outside the Top 25 buyers or suppliers.

Other third parties
We may provide your personal data to third parties in order to meet a legal obligation or court order. When transferring personal data outside the European Economic Area we enter into EU Standard Contractual Clauses to comply with our legal obligations.

In addition, in the event of a merger, acquisition, reorganisation, bankruptcy, or other similar event, any information in our possession may be transferred to our successor or assign.

 

Security of your personal information
In accordance with the applicable laws and regulations, we have taken adequate technical and organisational measures to safeguard the security of your personal information. We store the personal information that we process on secure databases and servers that are protected by technical access controls. Please be advised that while we strive to protect your personally identifiable data, we make no guarantees or assurances about our ability to prevent any such loss, access or misuse and are not responsible in the event that such loss or misuse occurs.

Accuracy
Big Worldwide Ltd will endeavour to ensure that all personal data held in relation to all data subjects is accurate. Data subjects must notify the data processor of any changes to information held about them. Data subjects have the right in some circumstances to request that inaccurate information about them is erased. This does not apply in all cases, for example, where records of mistakes or corrections are kept, or records which must be kept in the interests of all parties to which they apply.

Enforcement
If an individual believes that Big Worldwide Ltd has not complied with this Policy or acted otherwise than in accordance with the Data Protection Act, you should also notify the DPC.

 

Data Security
Big Worldwide Ltd will take appropriate technical and organisational steps to ensure the security of personal data. All staff will be made aware of this policy and their duties under the Act.

Big Worldwide Ltd and therefore all staff are required to respect the personal data and privacy of others and must ensure that appropriate protection and security measures are taken against unlawful or unauthorised processing of personal data, and against the accidental loss of, or damage to, all personal data.

An appropriate level of data security must be deployed for the type of data and the data processing being performed. In most cases, personal data must be stored in appropriate systems and be encrypted when transported offsite. Other personal data may be for publication or limited publication within Big Worldwide Ltd, therefore having a lower requirement for data security.

External Processors
Big Worldwide Ltd must ensure that data processed by external processors, for example, service providers, Cloud services including storage, websites etc. are compliant with this policy and the relevant legislation.

Secure Destruction
When data held in accordance with this policy is destroyed, it must be destroyed securely in accordance with best practice at the time of destruction.

Retention of Data
Big Worldwide Ltd may retain data for differing periods of time for different purposes as required by statute or best practices, individual departments incorporate these retention times into the processes and manuals. Other statutory obligations, legal processes and enquiries may also necessitate the retention of certain data.

We will retain your personal information for the period necessary to fulfil the purposes outlined in this Privacy Policy, for Forum Hub delegate information the period is 3 years unless a longer retention period is required or permitted by law.

5. What are your rights?

Based on the United Kingdom Data Protection Act (DPA) and similar local laws that pertain to the countries in which our company has nexus, you may request to review, change or remove your personal data. You can submit such substantiated request – including your full name – to us by email to privacy@wwideevents.com. We will contact you within thirty (30) business days after receipt of a request to review, change or remove your personal data.

6. Cookies and similar technologies

We use cookies in our App and on our Website. A cookie is a small text file that is delivered with pages from the App or Website and which is stored by your browser on the hard drive of your computer or on your smartphone. Cookies have various functions, for example a cookie can store your language preferences or password. Cookies and web beacons do not usually contain any information that could personally identify you.

7. Rights of Access to Information

Data subjects have the right of access to information held by Big Worldwide Ltd, subject to the provisions of the Data Protection Act 1998 and the Freedom of Information Act 2000. Any data subject wishing to access their personal data should put their request in writing to the DPC. Big Worldwide Ltd will endeavour to respond to any such written requests as soon as is reasonably practicable.

Children Under the Age of 13
Our services are directed to adults over 18 years old who attend our events and therefore have a profile on the Forum Hub. We do not knowingly collect information from children under 13 years of age or have any reasonable grounds for believing that children under the age of 13 are accessing our Website or App or using our services. If we learn that we have inadvertently collected personal information from a child under age 13, we will delete that information as quickly as possible.
